Terms & Conditions

Highlighted items are placeholders the CertificateChaser operator must complete before launch. This document is a practical starting point and is not legal advice — have it reviewed by a professional.

These Terms govern use of CertificateChaser (the "Service"), operated by Certificate Chaser ("we"). By creating an account you agree to them. Last updated June 2026.

1. The Service

CertificateChaser is business software that lets you record customers and recurring services, send automatic reminder, booking-confirmation and invoice emails, take bookings via a public booking page, manage a calendar, and record invoices and payments. It is intended for UK business use.

2. Accounts

  • You must be 18+ and provide accurate details.
  • You are responsible for keeping your password secure and for all activity under your account.
  • One account represents one business. You must not access or attempt to access another account's data.

3. Subscription, billing and cancellation

  • The Service costs £19 per month, or £190 per year, plus VAT where applicable, billed in advance through Stripe. Promotional codes may reduce the price for the period stated.
  • You can cancel at any time from Billing → Manage subscription. Access continues until the end of the paid period; we do not offer pro-rata refunds except where required by law.
  • If payment fails we may suspend access until payment is made. Prices may change with at least 30 days' notice by email.

4. Your data and your customers

  • You own the data you enter. You grant us a licence to process it only to provide the Service.
  • You are the data controller for your customers' personal data and are responsible for having a lawful basis to store their details and to send them service communications through CertificateChaser. We act as your processor (see the Privacy Policy, which forms part of these Terms).
  • You are responsible for the accuracy of due dates, prices, bank details and other information; we send what you configure.

5. Automated emails, bookings and invoices

  • Reminders are sent automatically according to the schedules you set. We take reasonable care to deliver them but cannot guarantee delivery, opening, or that any reminder results in a booking or payment.
  • Bookings made through your booking page are appointments between you and your customer; we are not a party to them.
  • Invoices are generated from the information you enter. You remain responsible for their legal and tax correctness (including VAT) and for collecting payment. CertificateChaser does not collect or process your customers' payments; customers pay you directly (e.g. bank transfer) and you record the payment.

6. Acceptable use

You must not use the Service to send unsolicited marketing, spam, unlawful or misleading content, to store data you have no right to hold, to attempt to breach security, or to resell the Service. We may suspend or terminate accounts that breach these Terms.

7. Third-party services

The Service relies on Stripe (subscription payments), an email delivery provider and cloud hosting. Their availability is outside our control.

8. Availability and support

We aim for high availability but the Service is provided "as is" and may be interrupted for maintenance or reasons beyond our control. Support is by email at JackHartshorn@outlook.com.

9. Intellectual property

The Service, its software and branding belong to us or our licensors. Your data and your business branding remain yours.

10. Liability

Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or anything that cannot be limited by law. Otherwise we are not liable for loss of profit, business, revenue or data, or indirect or consequential loss, and our total liability in any 12-month period is limited to the fees you paid us in that period. You acknowledge that missed reminders, failed emails or booking outcomes are inherent risks of automated communications and you should keep your own records of statutory inspection and service deadlines.

11. Termination

You may close your account at any time (Settings → Privacy & data). We may terminate for material breach or non-payment. On termination we retain data only as described in the Privacy Policy.

12. Changes, law and contact

We may update these Terms with notice by email or in-app. They are governed by the laws of England and Wales and the courts of England and Wales have exclusive jurisdiction. Contact: JackHartshorn@outlook.com, [REGISTERED ADDRESS].
